A new policy regarding the handling of mail and packages at Knox College was announced to students in an email sent out on Jan. 7. From now on, the date of delivery will be printed on all mail and packages. If a package or letter remains unclaimed for 30 days, it will be returned to the sender.
The mailroom, located in Seymour Union, serves as the central hub for all deliveries to the Knox College community. This applies to all types of mail, including those sent via USPS, UPS, FedEx, and other couriers. Once a package arrives, the mailroom sends an email notification to the recipient. It is the responsibility of the student or staff member to timely retrieve their mail.
However, the mailroom staff understands that unforeseen circumstances may prevent someone from picking up their package. In such cases, the student can arrange for someone else to pick it up on their behalf. To do so, contact the mailroom at [email protected] and provide the name of the person who will retrieve the package.
“Be diligent about picking up your packages,” said communications staff council Kristy Ladendorf.
In the past, there have been instances where graduating students forgot to check their mailboxes before leaving campus, resulting in the mailroom being responsible for their unclaimed packages. Some students also continue to receive mail after leaving the college, further complicating the mailroom’s operations. The new policy aims to address these issues and maintain an efficient system for all students.
To avoid delays or complications, it is essential that students use the correct format when addressing mail and packages. The following format should be used:
Your Name (Please use your official name)
Knox College Box ___ (your K-box number)
2 E. South St.
Galesburg, IL 61401-4999
Mail is not delivered to individual offices or residence halls, so it is crucial that packages are addressed to the correct Knox College box number. It’s important to refrain from using nicknames when addressing packages. While the mailroom can process a package with a tracking number, incorrect or incomplete information can slow down the process.
If you are expecting a large number of packages, it’s advised to bring a friend along to help you pick them up. Identification, such as a Knox ID, driver’s license, or state ID, will be required when picking up packages from the mailroom window.
The new mailroom policy will prevent an overload of unclaimed packages. By ensuring timely pickup and accurate addressing, students and staff can help keep the mailroom efficient and organized. For any further questions please contact the mailroom at [email protected]
